Position Purpose
Assist Service Operations as well as facilitate all Refrigeration service projects and contracts based on established departmental, company and ISO procedures, while meeting the customer commitments in a professional, high quality and timely manner. 

Position Responsibilities:

Project duties:

  • Set up/coordinate and complete all necessary ISO paperwork as required for each project.
  • Facilitate change orders needed for each project to ensure proper documentation.
  • Facilitate any project permits, registrations, subcontracts, etc. as required.
  • Fill out material requisitions for materials and equipment as requested by Refrigeration Project
  • Solutions Representatives.
  • Review customer purchase orders to insure inclusions/exclusions of all customer purchase orders for billing.
  • Maintain a master schedule showing current status and plan for all assigned projects.
  • Support Refrigeration Project Solutions Representatives in the coordination, scheduling and set up of Refrigeration projects within service computer system.
  • Establish relationships with vendors to obtain pricing, delivery and technical information.
  • Understand tax exempt entity, use tax rules and utilize knowledge in job set up. Consult with accounting resources as needed.
  • Execute job close-out procedures as requested by PSR.
  • Work with Refrigeration service sales and Refrigeration service manager to add new equipment from projects to new or existing maintenance agreements.
  • Overall administrative support for the Refrigeration project sales staff, to include, but not limited to: running reports; creating and maintaining documents/ spreadsheets; copying/scanning/filing; ordering materials/supplies; scheduling, preparing for, and/or attending internal meetings; coordinating job specific safety training as needed; etc.

Contract duties:

  • Prepare renewal spreadsheet and attend renewal meetings taking notes as needed.
  • Meet monthly with Service Managers to complete Renewal Checklist for each customer renewing.
  • Work with Service Managers to update Refrigeration maintenance agreement contracts and tasking as necessary to ensure everything is up to date and accurate.
  • Request Customer POs for PM agreements
  • Task, monitor, and review all subcontractor work, oil analysis and vibration reports to internal and external customers.
  • Maintain all records for Safety Relief Valves, NH3 Sensor Calibrations, Valve Maintenance and IIAR 109 reports.
  • Assist Service Manager in new agreement start up and add/delete process (Enter Equipment)
  • Update and Monitor status of Booking Packages


  • Print and prepare agreement performance reports for review with identified exceptions.
  • Manage changes and notes identified by service technicians on tasking using findings log.
  • Identify dirty dozen agreement performs and fill in metrics with cause and resolution.
  • Review project status reports and identify exceptions.
  • Maintain manpower planning report.
  • Assist Service Managers in handling customer concerns either through CARE or direct from customer.
  • Service Warranty follow up through the use of QAFs.
  • Other duties and responsibilities as assigned.

Experience, Skills, and Abilities:

  • Proficient and exceeds expectations in Project Coordinator duties and required skill set:
  • Excellent organizational skills with proven ability to handle multiple tasks efficiently.
  • Demonstrates accuracy and thoroughness and monitors own work to ensure quality.
  • Identifies and resolves problems in a timely manner.
  • Able to gather and analyze information skillfully.
  • Strong communication skills, both verbal and written.
  • Excellent customer service skills, with both internal and external customers
  • Highly proficient in Microsoft Word, Excel, Outlook, Project, and Adobe Acrobat.
  • Working knowledge of Microsoft PowerPoint and Visio.
  • High School Diploma
  • Requires basic technical/construction knowledge or 3+ years of experience in a related field
  • Position may require ability to access job sites, including climbing, crawling, kneeling.
